Education

A series of archival educational workshops will be offered to community leaders to develop skills and ensure proper management and care of archival materials. The workshops will cover appraisal, arrangement and description, preservation, access, digital preservation, outreach activities and other archival topics.


Preventive Conservation & Risk Management

Summary

The Preventive Conservation & Risk Management workshop was held on March 2, 2022. It was offered by the Provincial Archives of Alberta and hosted by the Kule Folklore Centre's Sustainable Ukrainian Canadian Heritage program.

This workshop provided an overview of best practices of preserving documentary heritage. It guided participants through handling, processing, and storing archival records, addressing common issues, controlling the environment, and other strategies to minimize risks to records and ensure their long-term preservation. The workshop was delivered by members of the conservation team at the Provincial Archives of Alberta: Alison Freake (Conservator), Kassidy Kingston (Young Canada Works Graduate Intern in Conservation) and Stephanie Olson (Academic Intern – Fleming College). It was attended by approximately 20 participants.

Volunteer Program in Archives: Principles, Design, Workflow

Summary

The Volunteer Program in Archives workshop was held on November 17, 2021. It was offered by the Ukrainian Canadian Congress National Archives Committee in collaboration with the Sustainable Ukrainian Canadian Heritage program at the Kule Folklore Centre. The workshop was attended by over 30 participants.

The challenge of inadequate resources is the reality for many small Ukrainian archives and museums. One way to handle the challenge is to create an advanced volunteer program and learn the art of delegating. This workshop focused on showing how to delegate elements of arrangement and description, and take control over the ever-growing backlog of unprocessed materials. It provided a guide for selecting and training volunteers, as well as creating a system that maintains quality.

Digital Preservation

Summary

The Digital Preservation workshop was delivered on the 5, 12 and 19 of October 2021 (three two-hour sessions during the day). It was offered by the Canadian Conservation Institute (CCI) and the Canadian Heritage Information Network (CHIN) and hosted by the Kule Folklore Centre's Sustainable Ukrainian Canadian Heritage program. This workshop was attended by over 30 participants.

Description: about the workshop

This workshop outlined best practices for preserving digital information. Topics covered included appropriate selection criteria for physical carriers as well as tools for taking stock of existing digital assets and for developing digital preservation policies, plans and procedures. Software and hardware solutions for digital preservation in small to medium-sized heritage institutions were also recommended.

Learning objectives

Upon completion of this workshop, participants should be able to:
● identify digital assets in their institution and assess the risk and impacts of losing access to these assets;
● develop a digital preservation policy, plan and procedures;
● understand the factors relevant to the choice of physical carriers; and
● install and use hardware and software for the purpose of preserving digital assets in smaller heritage institutions.

Target audience:
Curators, collections managers, conservators, archivists and other personnel responsible for the preservation of digital assets, particularly in smaller institutions.


Electronic Records Management: An Introduction to Recordkeeping & Information Management Practices

Summary

The Sustainable Ukrainian Canadian Heritage program continues collaborating with the UCC Archives Committee. We are pleased to have offered a workshop on electronic records management.

Good records management is crucial for any organization and its functions. This free workshop served as an introduction to electronic recordkeeping and information management practices in the digital world. It was aimed primarily at community organizations who don't have an established records management program, but was also useful to any individual who was interested in learning how to work and manage one's institutional or private records more effectively.

This workshop was attended by over 40 participants. The event recording on YouTube became very popular. As of the beginning of 2024, it has over 5000 views.

Archiving 101: Introduction to archives for community organization

Summary

This workshop is an introduction to archiving. It provides an overview and general understanding of archiving necessary to have intellectual and physical control of archival materials. This workshop is intended for participants that may work with archival collections or be responsible for their institution’s archives, but may not have formal knowledge of how archives operate. This workshop is intended for a Canadian audience. It serves as an introduction and foundation for future SUCH workshops that will cover individual topics in more depth. Archiving 101 was held twice in the format of a workshop and a webinar (2020, 2021). It was attended by over 40 participants.
